The Benelux Chamber of Commerce in China is the official business platform representing Belgian, Dutch and Luxembourg companies in China. The Chamber supports its members through business networking, events, delegations, market access initiatives, advocacy, and professional services. With a growing membership base, increasing number of events, business delegations and strategic projects, the Chamber is expanding its team in Shanghai and is looking for a proactive and versatile professional to join our international team.
Position: Executive Support Manager
Reporting to: General Manager

Position Overview
The Executive Support Manager supports the Chamber's senior staff in the day-to-day coordination of the organization and acts as an important link between senior staff and the Project Managers.
The role focuses on maintaining an overview of ongoing projects, following up on priorities and deadlines, supporting Project Managers where needed, and ensuring that information, instructions and decisions from senior staff are communicated and followed up effectively.
The position also provides hands-on support across events, communications, membership and other Chamber activities when required. It’s the ESM who should assist the GM with keeping track of projects.
Key Responsibilities
1. Senior Staff Support
- Provide operational and administrative support to the General Manager
- Assist with meetings, presentations, reports and internal documents
- Maintain an overview of organizational and financial priorities, deadlines and follow-up actions
- Support communication with members, partners and key stakeholders
- Assist senior staff with day-to-day coordination of Chamber activities
2. Project Coordination & Internal Support
- Maintain an overview of ongoing projects and activities
- Regularly follow up with colleagues on progress, deadlines, deliverables and outstanding actions
- Provide practical support to colleagues where additional assistance is needed
- Communicate relevant information, priorities and instructions from senior staff to Project Managers
- Flag delays, challenges or matters requiring management attention to senior staff
- Help ensure proper coordination between different projects and team members
- Support Project Managers with events, delegations, company visits and other Chamber projects when required
3. Marketing & Communications
- Lead the development of marketing materials and digital content, as well as following the marketing calendar
- Lead in LinkedIn, WeChat, newsletters and website communication
- Support event and project promotion and basic visual design
- Support on a technical side (IT, CRM and Marketing)
4. Membership & CRM
- Support accurate and up-to-date member information in the Chamber's CRM
- Assist with membership onboarding, engagement and communication
- Support senior staff and Project Managers with member-related follow-up where needed, as well as add to membership retention
5. General Chamber Support
- Support the daily operations of the Chamber and its international team
- Assist with events, Intern2China, delegations and other Chamber programs when required
- Represent the Chamber professionally at activities and events
- Proactively identify opportunities to improve internal coordination and processes
Candidate Profile
Required
- Bachelor's degree or above
- Excellent written and spoken English
- Certain working proficiency in Mandarin
- Fluency in Dutch, French or Luxembourgish
- Strong organizational, coordination and time-management skills
- Ability to maintain oversight of multiple projects simultaneously
- Confident communicating and following up with colleagues across different functions
- Proactive, hands-on and solution-oriented working style
- Strong attention to detail
- Interest in international business and China-Europe relations
- Strong Excel skills is a must
- Flexible working schedule (i.e. attending many events in the evening or on different locations within China)
Preferred
- Experience in executive support, project coordination, events, communications or international organizations
- Dutch, Luxembourgish or French-speaking background
- Experience with CRM and project-management tools
Basic marketing and graphic-design skills
Reporting & Internal Coordination
The Executive Support Manager reports directly to the General Manager and works closely with other senior staff.
The Executive Support Manager also works closely with the Project Managers, supporting them in the execution of their projects while helping senior staff maintain an overview of progress, priorities and follow-up actions.
