About the Role

The role of Office Manager is an office based role in Shanghai with occasional travel to our Hangzhou office and occasionally outside events. This is an excellent opportunity to develop your understanding of foreign businesses’ operations and the business environment in China; as well as support businesses to thrive.

This role is best suited to a person with wide experience to bring perspective, ideas and support the continued high standards and growth of our organisation. Working experience in an NGO, small business or similar organisation would be a benefit. All colleagues are ambassadors for the Chamber and this person will be crucial to communicating with all members through the payment processes so a can-do, positive and supporting approach is important. The person will be a key member of the Chamber senior leadership team guiding on strategy, operations and overall Chamber operations, as well as supporting all the different departments of the Chamber. 


 

Reporting to the Executive Director, you will support all departments in relation to:

  • Processing financial documents for third party finance vendor
  • Creation and issuing of fapiaos and invoices
  • Administration of new-member documentation and financial onboards
  • Issuing of general contracts including consulting with the Executive Director
  • Overseeing and processing of expenses, payroll and general office costs/purchases and the relevant platforms including Xero
  • Overseeing all social and large Chamber events profit and loss documents creation and execution
  • Monthly and project reports regarding Chamber financials and budget coordination with the Executive Director & Treasurer
  • Overview of HR related documents and contract management
  • Support on Chamber activities and events as required
  • Processing and documentation & administration around sponsorship (product, venue & cash), ticket sales, platform payments (GlueUp etc)
  • Ensuring and following company policy on use of chops, passwords, safe access and bank accounts
  • Secretary for the Executive Committee, minute taking, agenda planning and overall coordination


     

Our Ideal Candidate

  • Native Chinese speaker with strong English communication and presentation skills
  • Bachelor's degree in Accounting, Finance, Business Administration or a related discipline preferred
  • 10 years work experience preferred in an international environment, including at least 5 years' experience in accounting, financial administration or finance operations
  • Professional accounting qualification and knowledge of PRC tax regulations and accounting practices preferred; familiarity with UK tax principles would be an advantage
  • Demonstrable experience managing budgets, financial reporting, invoicing, expense management, payroll coordination and financial reconciliations
  • Experience using accounting software (preferably Xero) and strong Excel skills
  • An organised person with excellent attention to detail and a high degree of financial accuracy
  • High level of integrity and discretion
  • Have a positive & can-do attitude, able to work in a small team and have a collaborative approach
  • Ideally have experience in events
  • Looking for long term and stable role
  • Have a passion for supporting businesses to thrive and connecting the community

The Package: monthly gross salary of RMB 13,000 - 15,000. You are eligible to participate in the Chamber’s discretionary Annual Performance Bonus. Any Bonus awards paid will depend upon your own performance against agreed objectives and the overall performance, including financial, of the Chamber.
